In recent years, discussions about the future of work have centered on a key question: where does work happen? Remote, hybrid, in-office.
Traditionally, workplace value was defined by location, design and space efficiency. Today, these fundamentals now include measurable performance metrics, utilisation rates, energy efficiency, user experience and a building’s ability to adapt to changing work patterns.
As we move into 2026, the conversation is shifting from where work takes place to how workplaces perform. This marks an important evolution in how we understand office real estate and the role of the workplace.
Building operations are a clear example of this change. Intelligent platforms can use AI to analyse occupancy patterns, environmental conditions and real-time usage data to automatically adjust HVAC, lighting, and energy consumption throughout the day, with early deployments delivering energy savings of up to 25% on HVAC systems alone.
At the same time, sensor-driven workplaces are providing a far more detailed picture of how offices are actually used, and where traditional models fall short. Data from the XY Sense Workplace Utilization Index shows that average workplace utilisation has stabilised at around 43%, suggesting that hybrid working patterns have now matured into long-term, predictable behaviours rather than short-term disruption. However, beneath that headline figure, usage is far from uniform.
Desk-level data reveals a significant mismatch between design and behaviour. 43% of desks are used for less than one hour per day and only 17% are occupied for more than five hours. This helps to reinforce a broader change that is happening. The office is no longer primarily a place for individual, desk-based work - instead, it is increasingly being used for collaboration. 94% of meetings involve six people or fewer, and 34% are single-person uses of meeting rooms, often for virtual calls or focused work.
These patterns also reflect a wider rethinking of how time is structured at work. Emerging models such as the four-day working week are gaining traction, with 76% of employees believing it would improve work-life balance and 83% expecting it to become more common by 2030.
As a result, organisations are moving away from static layouts towards more adaptive environments, increasing the proportion of small meeting rooms, phone booths and flexible collaboration areas, while reducing reliance on assigned desks. Real-time occupancy data is also enabling more dynamic space planning, helping teams respond to peak midweek demand, when utilisation can exceed 50%, while avoiding over-provision on quieter days.
In parallel, enterprise workplace technology is advancing rapidly. At its Imagine conference this month, HP introduced HP IQ, an on-device AI layer that determines whether tasks are processed locally or in the cloud, alongside new security architecture and high-performance workstations. While this may appear to be an incremental product update, it also indicates a shift towards distributed, intelligent computing embedded directly in the workplace.
HP’s focus on “agentic AI” - systems that can take action across workflows rather than simply generate content - further points to a future where workplace technology is increasingly autonomous and operationally integrated into day-to-day business processes.
These systems are already delivering measurable outcomes. HP reports 16% productivity gains from internal AI PC deployments, and new workstation technologies enable some design tasks to run over three times faster than before. Advanced collaboration tools, such as 3D communication systems, are expected to improve engagement and increase information retention by up to 28% in meetings.
For developers, investors, and occupiers, the commercial benefits are also becoming increasingly clear. Data-driven space planning is improving utilisation and reducing waste, particularly in environments where hybrid working has created uneven demand across the week. Intelligent building systems are lowering operating costs through real-time energy optimisation, while also supporting ESG targets and more transparent reporting. At the same time, the quality of the workplace experience, from seamless collaboration to comfort and flexibility, is playing a more direct role in how organisations attract and retain talent.
Design itself is evolving hand-in-hand with these technologies. Digital twins, which are highly accurate 3D models of physical environments, allow teams to simulate, test and refine workplace designs before construction. This improves delivery timelines, cost certainty, and long-term adaptability. In this context, the workplace begins to function less like a fixed product and more like a living system.
Employees themselves are adapting quickly to these changes, with 48% participating in reskilling or upskilling programs and 72% confident that improving their skills will lead to better opportunities. Flexibility, however, remains a priority, as 37% of workers are actively seeking more remote roles.
Yet, execution remains critical. Despite these advances, 79% of employees report losing time in meetings due to technical issues, and 30% lose over 10 minutes per meeting to set up alone. Intelligent workplaces, therefore, should not be defined by how much technology they use, but by how seamlessly that technology works together.
While location and design will continue to play a key role, the defining feature of the next generation of offices appears to be their ability to measure, adapt and improve how work happens within them.
Ultimately, long-term value will be determined not by what a workplace is, but by how well it evolves.
