Freelancing gives you freedom — but it also means you're responsible for billing your own clients. A professional invoice isn't just a payment request. It's a legal document, a record for your taxes, and a signal to clients that you run a serious operation.

This guide covers everything you need to know about freelancer invoicing: what to include, common mistakes, and how to create invoices quickly without paying for expensive software.

What Every Freelance Invoice Must Include

Missing even one of these fields can delay your payment or create headaches at tax time:

1. Your Business Details

  • Full legal name or business name
  • Address
  • Tax ID or VAT number (if applicable)
  • Email and phone number

2. Client Details

  • Company name
  • Billing contact name
  • Billing address
  • Purchase order number (if they provided one)

3. Invoice Metadata

  • Unique invoice number (sequential: INV-001, INV-002, etc.)
  • Invoice date (the date you send it)
  • Due date (when payment is expected)

The Most Common Invoicing Mistakes Freelancers Make

Not Using Sequential Invoice Numbers

Tax authorities in most countries require sequential invoice numbering. Skipping numbers or using random IDs can trigger audit flags. Start with INV-001 and go from there.

Vague Line Item Descriptions

"Web design work" tells the client nothing. Instead, write: "Homepage redesign — 3 rounds of revisions, responsive layout, delivered April 15." Specificity prevents disputes.

Forgetting Payment Terms

If you don't specify when payment is due, clients will pay whenever they feel like it — which is usually "later." Always include a due date. Net 30 is standard, but Net 15 or Due on Receipt gets you paid faster.

Sending Invoices Late

Invoice the day you deliver the work, not two weeks later. The longer you wait, the lower your priority in the client's payment queue.

Not Following Up

About 30% of freelance invoices are paid late. Send a polite reminder the day after the due date. If you wait "to not be annoying," you're financing your client's business for free.

Tax Considerations for Freelancer Invoices

EU Freelancers
