The Fix: Establish a Basic AI Governance Checklist

The core pitfall is treating AI as a writer, not an assistant. The solution is a governance framework that puts you in command. This principle transforms AI from a black box into a structured, accountable component of your workflow. It ensures you lead with strategy and story while AI assists with structure and syntax.

Think of a tool like ChatGPT or Claude as your brainstorming and drafting partner. Its purpose is to generate raw material based on your strategic direction, not to produce final, submission-ready content. The critical rule is to never accept a full paragraph or section verbatim. Instead, deconstruct its output. Use it to overcome writer’s block by asking for a compelling opening sentence after you’ve outlined the strategy, or to simplify jargon-heavy text for a lay audience.

Mini-Scenario: You ask an AI to draft a project description. Instead of using its output directly, you extract three strong phrases and a useful statistics structure. You then rebuild the section around your unique program details, ensuring authenticity and accuracy.

Implementation Steps

  1. Curate and Command Your Voice: Before drafting, define your narrative’s core: the human impact, your organization’s unique approach, and the urgent need. Use AI to brainstorm five different ways to phrase an outcome goal, but you choose and refine the one that resonates.
  2. Mandate a Verification Protocol: Treat every AI-generated fact as a first draft. Implement a strict, three-step check: Verify all data points against internal documents, ensure no confidential strategy is disclosed, and scrub the text of any synthetic or placeholder sensitive information.
  3. Integrate AI into a Phased Workflow: Use AI in specific, isolated phases—brainstorming outlines, rephrasing complex sections, checking grammar in a final pass. This prevents you from losing narrative control and makes verification manageable.

By adopting this governance mindset, you harness AI’s efficiency while safeguarding your proposal’s integrity, accuracy, and heart. You become the strategic director, using AI as a powerful, governed tool to amplify your mission’s story.
